Assistant Secretary (Temporary Position)

Perform staff administrative duties and varied staff assistance at a paraprofessional level for a department or division.

                        Responsible for daily office management, correspondence, secretarial matters.




  • Screen incoming mail and telephone calls; uses discretion to respond on own initiative, redirect to subordinates as appropriate.
  • Performs typing and transcription duties as required.
  • Assist as required other staff member in the accomplishment of objectives, conferences organization, event planning, and assigned duties.
  • Help in the daily and smooth running of the office/department
  • Independently composes reports and correspondence containing decisions that tend to establish precedents and which may commit a unit or superior to a course of action.
  • Helps in arranging, participating, and implementing, as directed, conferences and committee meetings.
  • Composes complex correspondence, memorandums, fliers, slides and course materials.
  • Prepares the agendas and takes minutes for the meeting.  Serves as administrative liaison with other departments on campus and outside organizations and agencies concerning administrative policies, procedures and practices.

  •  Bachelor Degree with 2 years of experience related to the secretarial field.



  • Must be knowledgeable in the areas involving office management and administrative procedures. 
  • Ability to maintain confidentiality. 
  • Possess knowledge of computer technology.
  • Time management skills are needed to meet deadlines. 
  • Possess excellent oral and written communications skills.



  • Work is normally performed in a typical interior/office work environment.
  • No or very limited physical effort required.
  • No or very limited exposure to physical risk.
